1. Introduction

1.1 These Registration Terms & Conditions govern attendance at conferences, summits, networking events, workshops, roundtable discussions and related activities organised by Phoenix Summits Ltd ("Phoenix Summits", "we", "us" or "our").

1.2 References to "you" and "your" refer to the individual or organisation registering for, attending or participating in a Phoenix Summits event ("Event").

1.3 By registering for or attending an Event, you agree to be bound by these Terms & Conditions.

1.4 Phoenix Summits reserves the right to announce your participation as a delegate, speaker, moderator or attendee through event websites, email communications, social media, event programmes and marketing materials.

1.5 Any such announcements shall be professional in nature and shall not be intended to damage the reputation of you or your organisation.

1.6 Phoenix Summits shall not be liable for travel, accommodation, subsistence or other expenses incurred in connection with attendance at an Event.

2. Registration

2.1 All registrations are subject to review, approval and availability.

2.2 Certain Phoenix Summits events are invitation-only and attendance remains at the sole discretion of Phoenix Summits.

2.3 Confirmation of registration will be provided by email.

2.4 Delegate passes are issued to named individuals and may not be shared without prior written approval.

2.5 Phoenix Summits reserves the right to refuse, cancel or revoke any registration where attendance is deemed inappropriate for the Event or inconsistent with the Event's objectives.

3. Delegate Attendance and Participation

3.1 Phoenix Summits events are designed to encourage active peer-to-peer discussion, networking and knowledge sharing.

3.2 Delegates are expected to participate in scheduled sessions, discussions, networking activities and pre-arranged meetings where applicable.

3.3 Delegates should make reasonable efforts to attend all confirmed activities forming part of the Event programme.

3.4 Delegates who repeatedly fail to attend confirmed events without reasonable notice may be excluded from future Phoenix Summits events.

4. Substitutions

4.1 If a registered delegate is unable to attend, a substitute attendee from the same organisation may attend in their place, subject to approval by Phoenix Summits.

4.2 Requests for substitutions should be submitted in writing as soon as reasonably practicable.

4.3 Phoenix Summits reserves the right to refuse a substitution where the replacement attendee does not meet the Event's attendance criteria.

5. Event Changes

5.1 Phoenix Summits reserves the right to amend:

  • Event dates;

  • Event venues;

  • Event timings;

  • Event formats;

  • Session topics;

  • Speaker line-ups;

  • Discussion groups;

  • Meeting schedules; and

  • Networking activities.

5.2 Phoenix Summits will endeavour to notify attendees of any material changes as soon as reasonably practicable.

5.3 Changes to speakers, content, venue, timings or programme structure shall not constitute grounds for any claim against Phoenix Summits.

7. Delegate Conduct

6.1 Phoenix Summits may photograph, film and record portions of the Event for promotional, educational and archival purposes.

6.2 By attending an Event, you consent to the reasonable use of photographs, video footage and audio recordings in which you may appear.

6.3 Delegates who do not wish to appear in promotional materials should notify Phoenix Summits in writing prior to the Event.

6.4 Delegates may not record, reproduce or distribute Event content without prior permission from Phoenix Summits and the relevant content owner.7. Delegate Conduct

8. Health and Safety

8.1 Delegates agree to comply with all applicable venue policies, safety procedures and reasonable instructions provided by Phoenix Summits staff.

8.2 Delegates are responsible for informing Phoenix Summits of any dietary requirements, accessibility needs or special assistance requirements in advance of the Event.

8.3 Phoenix Summits cannot guarantee that all dietary requests can be accommodated but will use reasonable efforts to work with venue partners to meet notified requirements.

9. Intellectual Property

9.1 All presentations, documents, materials and content presented during an Event remain the intellectual property of the respective speaker, presenter or content owner unless otherwise stated.

9.2 Delegates may not reproduce, distribute, publish, transmit or commercially exploit Event content without prior written permission.

9.3 The opinions expressed by speakers, moderators and attendees are their own and do not necessarily represent the views of Phoenix Summits.

10. Force Majeure

10.1 Phoenix Summits shall not be liable for any delay, postponement, cancellation or modification of an Event arising from circumstances beyond its reasonable control.

10.2 Such circumstances include, but are not limited to:

  • Natural disasters;

  • Fire;

  • Flood;

  • Pandemic or epidemic;

  • Government restrictions;

  • Acts of terrorism;

  • Civil unrest;

  • Industrial disputes;

  • Venue closures;

  • Transport disruption; and

  • Utility failures.

10.3 In such circumstances Phoenix Summits may postpone, reschedule, relocate or convert an Event to a virtual or hybrid format.

11. Limitation of Liability

11.1 To the fullest extent permitted by law, Phoenix Summits shall not be liable for any indirect, consequential or economic loss arising from attendance at an Event.

11.2 Phoenix Summits accepts no responsibility for loss, theft or damage to personal belongings brought to an Event.

11.3 Nothing in these Terms & Conditions shall limit or exclude liability for:

  • Death or personal injury caused by negligence;

  • Fraud or fraudulent misrepresentation; or

  • Any liability that cannot legally be excluded or limited.

13.2 These Terms & Conditions constitute the entire agreement between Phoenix Summits and the attendee in relation to Event registration and participation.

13.3 If any provision of these Terms is found to be unenforceable, the remaining provisions shall continue in full force and effect.

14. Governing Law

14.1 These Terms & Conditions shall be governed by and construed in accordance with the laws of England and Wales.
